Checklist for Changes in Funds and Fund Manager Responsibilities

ADDING A NEW FUND

1) Create fund in Alma in the appropriate ledger for the current fiscal year. Add fund manager name to Description field in fund record.

2) GOBI –

  1. Ask GOBI to add the fund to GobiSmart so that it will appear in the fund list in GOBI.
  2. Add a template for the fund manager who will be managing the new fund.

3) No changes need to be made to the online order form, unless a new object code is also being created. If so, add it to the drop down list of object codes on the online order form - https://illinois.edu/toolbox

4) If an approval autoship account, ask Stephanie to set up new profile in WorldShare Collection Manager.

 

CHANGING A FUND FROM ONE FUND MANAGER TO ANOTHER

1) Update fund manager name in Description field of fund record in Alma.

2) Add/change GOBI templates to reflect the fund manager’s new responsibilities.
