Copy of Workflow for Speech & Hearing Science Tests: Ordering, Handling, and Processing

The Speech & Hearing Sciences Test Collection (sometimes called "SHS Tests," "SPHS Tests," "Speech and Hearing Assessment Instruments," "Speech and Hearing Test," among other names) is located in a storage area in the Social Sciences, Health, and Education Library (SSHEL). The purpose of this document is to formalize how items ordered for this collection should be handled by each department on its way to SSHEL.


What is a SPHS Test?

The items ordered for this collection (sometimes called "SHS Tests," "SPHS Tests," "Speech and Hearing Assessment Instruments," "Speech and Hearing Test," among other names) are unique in a few ways:

  1. They are instruments used by professionals to test in the areas of speech and hearing.
  2. They come in a variety of forms, from bound books to digital files to 3D objects.
  3. They are protected and can only be checked out by authorized individuals.


Ordering

SPHS test orders are submitted by the current Speech & Hearing Sciences Librarian or sometimes by the Acquisitions Specialist in SSHEL on behalf of the Librarian. The orderer should write "Speech & Hearing Test" (or something similar) to indicate to the Acquisitions department that this item will need special processing.

Acquisitions staff will include "SSHEL speech test" on streamer to ensure it is cataloged and routed properly when materials are received.

When in doubt, before routing materials to be cataloged, contact the orderer and ask for clarification or review of materials to determine intended location in SSHEL.

For various reasons, including the complicated nature of ordering Speech & Hearing tests, it may take some time for them to come in.


Receipt & Processing

After an item is received in Acquisitions, it should get a note on the streamer indicating that it is a Speech & Hearing Test before it's passed on to be cataloged.

The cataloger is responsible for importing a record from Connexion into Alma--or creating an original record if necessary–including an LC call number. It can then be passed to the person handling the Test Collection in SSHEL.

Once in SSHEL, the person responsible for the Test Collection creates holding and item records, labels the test, and shelves it in SSHEL Storage.


Summary

SSHEL submits order (w/"Speech & Hearing Test" note) → Acquisitions places order with vendor → Acquisitions receives item & marks streamer → CAM imports good bib record (w/LC call no.) → SSHEL finishes processing & shelves
