ACS Workflows: Acquisitions

Mail Sorting and Routing

Initial Review

  • Note the shipping address.  The address should indicate Room 12, Acquisitions dept., Serials dept (Room 246 serials), Asian Library, Slavic Library or otherwise indicate the piece is intended for our unit.  
  • Mail addressed to other Library units or elsewhere on campus can be returned to the outgoing mail slot by the mailboxes.
  • Any materials that indicate "Rare Books," "RBML" or "Maps" should only be opened by those units, even if it is an item we have ordered through ACS. 
    • Notify staff at RBML or Maps if an item is delivered (usually, they will come pick up the package).
  • If a piece is addressed to the University of Illinois Library in general, the piece can be opened to determine its intended recipient.
    • ACS occasionally receives items intended for interlibrary loan on the 1st floor, or vice versa.
    • ACS occasionally receives books that are being shipped as review copies, author copies or other courtesy copies intended for an individual.

For anything uncertain, keep together the package label and/or paperwork that came with the piece so it can be investigated.  These can be placed on the metal bookcase in front of Bernadette Braun's workspace.

Routing within ACS

Items that indicate a specific person can be delivered to that person or placed in their mailbox.

  • Print Serials / Periodicals (non-Slavic languages):
    • Bruce
  • Chinese, Japanese and Korean materials:
    • Place on the shelves to the right side of the other periodicals.
  • Slavic language serials:
    • Mirella
  • Damaged serials:
    • Archana (for claiming replacements)
  • Invoices:
    • GOBI, Russian Exchange Program from Elsevier + (questions) - Dustin 
    • GOBI PDA, Archiv Music, Hal Leonard, JW Pepper, Alibris, Movies Unlimited, Recorded Books - Ginger  
    • Envelopes addressed to the "Asian Library" H - Hueih-Lirng Laih 
    • Slavic Language - Naza 
    • Ebooks (electronic book etc.), electronic journal subscription notices - Wendy 
    • EBSCO invoices - Archana
    • All other invoices - ACQ head or Dustin 
  • Print subscription renewals:
    • Archana
  • Account statements:
    • Dustin
  • Rare Book catalogs:
    • RBML mailbox by the door to Room 12
  • General catalogs:
    • Some may be sent to individual selectors
  • Illinois titles (always has "Illinois" on the lower spine) / copies of University of Illinois Press titles
    • David (delivered to Archives, unmarked & unprocessed)

We Discard following materials:

  • Advertisements 
  • Solicitations for donations
  • Conference notices
