This document was derived from the Stacks Transfer Guidelines created by McCafferty, Kyle T available here.
- Correspond with a receiving library for transfers requests, include the relevant call number range (e.g. 305, DS) and a piece count.
- Check the catalog record before proceeding to make sure the record is complete (complete and accurate bibliographic, holding, and item records). If catalog records are incomplete or inaccurate, make the necessary corrections before transferring to stacks or contact cataloging staff for help: https://www.library.illinois.edu/staff/cam/
- Retrieve the item you want to transfer from your shelves.
- In Alma: Search for the item record by barcode using a physical items search:

- Click the Request button to the right:

- In the Create Request screen, choose Move permanently in the Request Type drop-down menu:

- In the Create Request drop-down menu, the request type will stay as Move Permanently, in the “To” field choose Receiving Library. And choose appropriate location in the Destination location from the next drop-down menu. Then click on the Submit button.

- At the top menu, click Fulfillment—Scan in Items:

- Scan in the barcode of the item with the options below checked:

*NOTE: You do not need to print a transit slip. Hit cancel on the print slip pop up screen.
- On the item screen you’ll see that the item is now in transit:

Use Library Shipping to route all items to the receiving library - please use the streamer to add the location (receiving library and sending library) and add to the item.

Transfer Procedure and Condition Reminders
- The item must be in good circulating condition.
- All pieces must be cataloged (accurate bibliographic, holding, and item records), clearly marked with the correct call number and barcoded.
- No unbound material can be transferred.
- All material must meet stacks guidelines:
a) No multiple copies
b) There must not be online access for the material
c) Items must have circulated within the last 10 years
