Undergraduate Research - Online Theses and Capstone Projects Submission System: 1. Preparing to Submit

This online guide will walk you through the submission of your undergraduate thesis or capstone project to the institutional repository, IDEALS.

What You Will Need to Submit

We are currently processing undergraduate theses for the College of Liberal Arts & Sciences ONLY. If you are a student in another department, please use the process as outlined by your department for 2022. 

If you are a student of LAS and you do not want to use the online submission form, please send a copy of your signed Thesis Certification form and your final thesis document in PDF to lashonors@illinois.edu.


In preparation of submitting your work to the "Theses and Capstone Project Submission System," make sure you have the following information and materials.

  • NOTE: You are only allowed to enter each specific work one time, please make sure your file is the final copy as we cannot update a file after it has been submitted. 

INFORMATION YOU NEED TO FILL OUT THE SUBMISSION FORM:

PAGE 1 - VERIFY YOUR INFORMATION

  • The system will authenticate your identity through Shibboleth.
  • You will be prompted to enter your name, illinois.edu email address, UIN, the discipline you are officially affiliated with, permanent address, and permanent email. It is your responsibility to make sure this information is correct. (Note: You may choose to enter a different name than what is on your official Illinois record as long as it is the same name that is on the document.)
  • Choose the UIUC College and Department for which you did this undergraduate research work specifically. You can view the colleges and departments: https://myillini.illinois.edu/Programs/MajorsCollege. Please note: This information MAY NOT necessarily correspond to your declared major/minor.
  • If you are a participant in an honor's program, please name the program in the box e.g., LAS Honors, James Scholar
  • Enter your permanent address and email. 

PAGE 2 - DOCUMENT INFORMATION

  • You will need to fill in several fields called the "metadata" for your submission:
    • The title of your work. e.g., please provide in sentence case format, "A tabulation of semiconductor integrals"
    • Choose your "Document Type," either "Thesis" or "Capstone Project."
    • Copy and paste your abstract. This can be any length but should be approximately 50-250 words. 
    • Optional: If you wrote/performed your project in a language other than English, you may choose from the selection. If your language is not in the drop down list, please contact Merinda Hensley at ugresearch@library.illinois.edu
    • The name(s) and email address(es) of your primary faculty mentor/supervisor. 
    • The name of the Departmental Undergraduate Thesis Reviewer's Email in your department (optional). If you are in LAS, please use lashonors@illinois.edu
    • Optional: Check the box if you worked as part of a larger grant project and enter the "name of the funder" / "grant number" in the text box. Be sure to double-check this information with your faculty mentor/supervisor before entering. 

PAGE 3 - UPLOAD YOUR FILE(S)

  • Upload Primary Document (required): A PDF version or compressed media file of your archived work (maximum file size: 50MB).
    • If your file is larger than 50MB, please use the instructions below on how to reduce the file size.
  • Upload Additional Files - Administrative (required): Upload additional supporting documents as required by your department e.g., LAS requires a Thesis Certification Form signed by "Instructor in Charge" and "Head of Department." You must upload a copy of your signed "Thesis Certification" form. If you need to digitize your form, there are scanners available in the Libraries: https://www.library.illinois.edu/library-technology/scan/
  • Upload Supplemental Files (optional): Upload only supplemental files such as audio, video, or data sets. These files must be listed in the appendix of your thesis or dissertation. 
  • NOTE: You are only allowed to enter each specific work one time, please make sure your file is the final copy as we cannot update a file after it has been submitted

PAGE 4 - CONFIRM AND SUBMIT

  • Check that all of the information you submitted is correct. There is an edit option for each section on this page.  
  • To finalize your submission, hit "Save and Continue." That's it! Congratulations!

WHAT HAPPENS NEXT

  • Your submission goes to your college for the verification process. If there are any issues, the college will contact you via your illinois.edu email address. 
  • Once you have filled out the form, you will be sent an automatic confirmation email that your submission was received.
  • If you need any edits made after you complete your submission, please send and email to ugresearch@library.illinois.edu outlining the edits you need made and we are happy to update your submission. 

PLEASE NOTE: YOUR SUBMISSION WILL ONLY BE AVAILABLE TO YOUR UNIT AND FOR PROCESSING PURPOSES, IT WILL NOT BE PUBLISHED ONLINE.
